# Import and export materials with Excel

> Create many library materials at once from an Excel file using the template, and export your materials to Excel from the Material Library.

Source: https://docs.vestislabs.com/library/material-excel-import-export/

Instead of creating materials one by one, you can fill in an Excel file and upload it, or export the materials you already have. Both live on the **Material Library Page**.

**Where to find it:** Library → Materials

**Requires:** permission `UPDATE_PRODUCT,VIEW_PRODUCT`

> [!NOTE]
> This is the import for materials. To import techpacks, size charts or SKU lists, see [Import templates](https://docs.vestislabs.com/library/import-templates/).

## Download the template

1. **Click "Upload Excel"**
Click the **Upload Excel** button at the top right of the Material Library Page. The **Create Library from Excel** dialog opens.

2. **Click "Download Template"**
Click **Download Template**. Vestis downloads an Excel file prepared for your brand and shows "Template downloaded successfully".

The template has two sheets:

- **Products** holds the column headings and one example row. Replace the example with your own data.
- **ListData** lists the values your brand already uses: the types, categories, units, tiers, suppliers, currencies, compositions, care instructions and attributes. Copy values from it so the names match exactly.

### Template columns

| Column | What to enter |
| --- | --- |
| **name** | Material name. |
| **code** | Supplier code (SKU). |
| **materialCode** | Your own material code. |
| **type** | **PRIVATE** or **PUBLIC**. |
| **category** | Category name. |
| **description** | Short description. |
| **weight**, **width**, **length**, **thickness** | The number, each followed by its own unit column: **weightDimention**, **widthDimention**, **lengthDimention**, **thicknessDimention**. |
| **price**, **priceDimention**, **currency** | The price, its unit, and the currency written exactly as in the **ListData** sheet (the currency name followed by its code). |
| **moq**, **moqDimention** | Minimum order quantity and its unit. |
| **construction**, **finishing**, **memo** | Free text. |
| **tier**, **supplier** | A tier written as "Tier 1 - Name" and a supplier name, both as they exist in your brand. |
| **composition**, **compositionPercentage** | One composition and its percentage per row. |
| **colorCode**, **colorName** | One colour per row. |
| **careInstruction** | One care instruction per row. |
| **mediaTitle**, **mediaUrl** | A linked media item per row. |
| **attribute** | An attribute written as "Attribute master - Attribute". |
| **picture** | A picture placed in this row of the sheet. |

## Fill in the file

- Use one row for a material. Fill in at least **name** and **code**: a row that has both starts a new material.
- A material with several compositions, colours, pictures, care instructions or media items takes extra rows directly below it. Leave **name** and **code** empty on those rows and fill only the columns you are adding.
- A category, unit, composition or care instruction that does not exist yet is created for you while the file is read.
- A **tier** or **supplier** that does not match an existing one is left empty on the material.

> [!TIP]
> Start with two or three materials to check the result, then upload the rest.

## Upload the file

1. **Click "Upload Excel"**
Click **Upload Excel** on the Material Library Page.

2. **Click "Upload file"**
Under **Upload Excel File**, click **Upload file** and choose your .xlsx file. The file name replaces the button.

3. **Click "Upload"**
Click **Upload**. When it finishes you see "Excel uploaded successfully" and the new materials appear in the list.

If the file is not an .xlsx workbook, the field shows "Please select a valid Excel file." If the file has no rows, the upload fails and nothing is created. Click **Cancel** to close the dialog without uploading.

## Export materials to Excel

1. **Select materials (optional)**
Check the materials you want to export. If you select none, every material is exported.

2. **Click "Actions"**
Open the **Actions** menu above the list.

3. **Click "Export Excel"**
Click **Export Excel**. Vestis shows "Preparing Excel download..." and then "Download complete".

The file has one sheet, **Products**, with a **Thumbnail** column first. The other columns are **Material Name**, **Code**, **Material Code**, **Type**, **Category**, **Description**, **Supplier**, **Weight**, **Width**, **Length**, **Thickness** (each with its unit), **Price**, **Price Unit**, **Currency**, **MOQ**, **MOQ Unit**, **Construction**, **Finishing**, **Tier**, **Memo**, **Compositions**, **Colors** and **Attributes**.

> [!NOTE]
> If you chose your own table columns on the Material Library Page, the export only includes the columns you left visible. See [Material library page overview](https://docs.vestislabs.com/library/material-library-page-overview/).

## Troubleshooting

**The Upload Excel button is missing.** Your role needs the permission to update products, and the button is hidden on the **Public Library** tab. Switch to **My Materials**.

**"Failed to download Excel" appears.** Try again. If it keeps failing, contact support.
