Quick answers about managing the people in your brand. Everything here happens on the **Users** page.

**Where to find it:** Management → Users

## Who can see the Users page?

Only users with the **View user** permission see **Users** under **Management** in the left sidebar. Inviting and editing users needs **Update user**, and changing permissions needs **Update user permission**.

## Which profiles can I give to a user?

When you invite a user, the **Profile** list offers **PRO**, **GUEST** and **SUPPLIER**. When you add a user to a brand or change their profile in **Edit User**, **CASHIER** is offered as well. On the **Invite** page, the profile you choose sets the default permissions the user starts with. See [Understanding role and permission](https://docs.vestislabs.com/management/understanding-role-and-permission/).

## Why is a profile greyed out or missing?

**PRO** uses a PRO seat. **GUEST** and **SUPPLIER** share the guest seats. When all seats of a type are in use, that profile is disabled and a hint under the list says so. Add seats in your subscription, or ask your brand admin to. See [Subscription management](https://docs.vestislabs.com/management/subscription-management/).

The **Users** page shows how many seats are used under **User Limit Status**, for example **Pro Users: 2 out of 5**. The **Invite** button is hidden when both pools are full.

## How do I invite someone?

Open **Management → Users**, click **Invite**, enter **Name**, **Email** and **Profile**, then click **Save**. The user receives a registration email. See [Invite user](https://docs.vestislabs.com/management/invite-user/).

## What is the difference between the Name, Email and Profile fields?

All three are required. **Name** needs at least 3 characters and **Email** must be a valid address. The **Brand** field is fixed to the brand you are working in.

## Can I set permissions before the user accepts?

Yes. The **Invite** page has a **Permissions** card, and a **Platform Access** card for collection and style access. Choosing a **Profile** ticks that profile's default permissions, which you can then adjust before you click **Save**.

## What are brand permissions?

Brand permissions apply inside one brand, for example viewing or updating styles. They are set from **Modify Permission**. See [Users' permission page](https://docs.vestislabs.com/management/users-permission-and-system-permission-page/).

## How do I change what a user can do?

Click the three dots on the user's card, then **Modify Permission**. Tick or untick permissions and click **Save Permissions**. If the user belongs to more than one brand, use the brand selector at the top right of the page to pick which brand you are editing.

## Why can't I tick a permission for a supplier?

The Digital ID scan permissions are not offered to users with the **SUPPLIER** profile, so they do not appear in the list.

## How do I limit which collections and styles a user sees?

Click the three dots on the user's card, then **Collection / Style Access**. Pick the collections and styles the user can open, then click **Save** in each section. The option is not shown for users with the **ADMIN** profile.

Rows that read **(Checked due to brand collection access permission)**, **(Checked due to collection access)** or **(Checked due to brand style access permission)** are already covered by another permission or by a collection the user can open, so their ticks cannot be changed there.

## What if the Collection Access or Style Access card is greyed out on the Invite page?

It is greyed out until the permissions include **View collection** (for collection access) or **View style** (for style access). Tick that permission first.

## How do I resend an invitation?

Click the three dots on the card of a user whose **Status** is **Invited**, then click **Resend invitation**. A new registration email is sent. The option only shows for users who have not registered yet.

## What do the statuses mean?

- **Invited**: the user has been invited but has not registered.
- **Active**: the user can sign in.
- **Inactive**: the user was deactivated.

The card also shows **Verification** as **Verified** or **Unverified**, and the date of the **Last Sign In**.

## What is the difference between Deactivate, Remove from brand and Delete?

| Action | What happens | Who can do it |
|---|---|---|
| **Deactivate** | Sets the user's status to **Inactive** and temporarily removes their access. Click **Activate** on the same menu to turn it back on. | Users with **Update user**. Not shown for users who are still **Invited**. |
| **Remove from brand** | Removes the user from this brand only, after you confirm. The user loses access to this brand and keeps any other brands. | Users with **Delete user**. |

> [!WARNING]
> **Deactivate** applies as soon as you click it. There is no confirmation step.

## Can I add an existing user to another brand?

Open **Edit User** from the card menu. In the **User's brands** card, **Add Brand** adds the user to the brand you are working in, if they are not in it yet. The **Brand** field is fixed. Pick the **Profile**, then click **Save**. See [Edit users](https://docs.vestislabs.com/management/edit-users/).

## Why don't I see the three dots on some cards?

The three dots menu only appears for users your own role level is allowed to manage.

## Where do I change my own name, photo and password?

Open **Settings → User Profile**. See [User profile settings](https://docs.vestislabs.com/management/user-profile-settings/).
