Permission: CREATE_MATERIAL_PRODUCTION

Before you start

  • You need the permission to create material production. Without it the Create Order page does not open.
  • The Production tab only appears on materials in your own library, and only when the material production feature is on.
  • The factory, payment terms, shipment method, priority and category lists come from your brand. You can add a missing value on the spot by typing it in the field.

Open the form

  1. Click "Production"

Open the material, then click the Production tab.

  2. Click "Create Order"

Click the Create Order sub-tab. The page is titled Create Production Order: Start a new production order for this product.

Fill in the order

  1. Select the order category

In Order Category, select a category, or type a new one to create it.

  2. Select the priority

    In Priority, select the priority.

  3. Select the factory

In Supplier / Factory, select the supplier. It starts as the material's own supplier when it has one. You can create, edit or delete a supplier from this list.

  4. Select the payment terms

In Payment Terms, select an option or type a new one.

  5. Name the order

In Order Name / Reference, type a reference, for example Batch 1.

  6. Select the destination

In Destination/Location, select a supplier or a warehouse. The list is split into Suppliers and Warehouses.

  7. Enter the dates

Set Order Date (today by default), Production Start, Production End and Ex-Factory Date.

  8. Select the shipment method

In Shipment Method, select an option or type a new one.

The form checks your dates as you pick them:

  • If Production End is before Production Start, Production End Date Check appears. Click Fix Dates to clear the date, or Cancel.
  • If Ex-Factory Date is before the order date, or before Production End, Ex-Factory Date Check appears. Click Edit Dates to set the date to the earliest allowed one, or Cancel.

There is also an Is From Ready Stock checkbox next to Destination/Location.

Add VAT information

Under VAT Information, enter Default VAT Rate (%), VAT Registration Number, TAX Jurisdiction (Country/State) and Tax Status (Registered, Exempt or Special). When you choose a factory, any VAT details saved on that supplier fill these fields in for you.

Choose colours and quantities

  1. Read "Quantity Required"

When the page has demand figures for the material, Quantity Required lists each colour. Open a colour to see Aggregated Orders, Showroom Orders, Order In Production, Available Inventory, Reserved Inventory, Incoming Inventory and the resulting Quantity Required. A second block, Forecasted Orders, does the same for forecasts.

  2. Add the suggested quantity (optional)

Click Add Qty next to a colour to add the required quantity to the order. It is disabled when the required quantity is 0.

  3. Select the colours

Under Available Colors, click each colour you want to order. A ticked colour gets its own panel under Quantity to Produce. Until you select one, the page says Select at least one color to enter quantities.

  4. Enter the quantity

In each colour panel, type a whole number in Quantity. The panel shows the FOB Price per unit in the Original Currency (and in the Base Currency when it differs) and a Color Total. Click the bin icon to remove the colour.

Check the totals

  • Total Quantity adds the quantities of all colours.
  • MOQ (Minimum Order Quantity) shows the minimum saved on the material, or Not set. If your total is lower, Order quantity is lower than the MOQ appears.
  • Total Order Value shows the value in the Original Currency, and in the Base Currency when the material's currency differs from your base currency and an exchange rate is set.

Add notes and save

  1. Add production notes

Type any special instruction in Production Notes.

  2. Click "Create Production Order"

    Click Create Production Order.

  3. Confirm the MOQ warning (if shown)

If the total is below the MOQ, Minimum Order Quantity asks Order quantity is lower than the MOQ. Do you want to proceed? Click Proceed to save anyway, or Cancel.

You are taken to the Production Order list, where the new order appears.

Troubleshooting

I cannot open the Create Order page. Opening it needs the permission to create material production. Ask your Brand Admin.

The price looks different from the material page. The order price is the colour's price plus its additional cost. When the material has a tiered price, the tier that matches the quantity you typed is used.
