The Shipping sub-tab of Production is called Raw Materials Shipping & Tracking: Manage and track your raw materials shipments. Use it to create a shipment for one or more production orders, follow it on its way, and see how many shipments are in each state.

Before you start

  • The Production tab only appears on materials in your own library, and only when the material production feature is on.
  • You need the permission to create material production to open these pages.
  • Create Shipment and Columns at the top right only show if you have the permission to update material production. Delete needs the permission to delete material production.
  • A shipment is built from existing production orders. See Create a material production order first.
  • The shipping tab has four sub-tabs: Active Shipments, Delivered, Analytics and Documents. Documents are explained in Material shipment documents.

Open the shipping page

  1. Click "Production"

Open the material, then click the Production tab.

  2. Click "Shipping"

Click the Shipping sub-tab. Active Shipments opens first.

Create a shipment

  1. Click "Create Shipment"

Click Create Shipment at the top right. The Create New Shipment window opens: Create a shipment for one or more production orders with multiple destinations.

  2. Select the factory

Under Origin Factory, select the Factory (required). Its address, city and country are shown below.

  3. Choose the shipment type

Under Shipment Type, check Full Shipment or Partial Shipment.

  4. Select the production orders

Under Select Production Orders, check the orders from that factory to include. All materials in a checked order are selected by default. For a partial shipment, uncheck the materials that are not shipping.

  5. Add a destination

Under Destinations, click Add Destination. In Delivery Location, select a supplier or a warehouse. Add more destinations if the goods are split.

  6. Allocate the orders

Under Allocate Orders to this Destination, check each order that goes to this destination. For a partial shipment, set the quantity of each material (the field shows the maximum allowed). The total per item cannot exceed what is available, and Destination Summary shows the units allocated.

  7. Fill in the shipment details

Under Shipment Details, select the Carrier (required) and the Estimated Ship Date (required). Optionally enter a Tracking Number and a Tracking URL, choose a Priority (Standard, Express or Urgent), enter the Shipping Cost (€) and add Shipment Notes. Total Items is calculated for you.

  8. Check the summary

Shipment Summary shows Total Items, Total Quantity and Destinations. If some selected units are not allocated, a notice says how many.

  9. Click "Create Shipment"

Click Create Shipment. The button stays disabled until the form is valid. Click Cancel to close without saving.

Note

The estimated delivery date is not typed in. It is worked out from the carrier you choose and the estimated ship date.

Follow the active shipments

Active Shipments shows shipments that are preparing, in transit or cancelled. Use the two buttons beside the filters to switch between the table and the board.

Search, filter and sort

  • Search by tracking #, order numbers... searches the list.
  • The filter offers Status (Preparing, In Transit, Cancelled, Overdue), Priority (Standard, Express, Urgent) and Supplier.
  • Sort by lets you pick any column and Ascending or Descending. Reset clears everything.

The board view

The board has four columns: Preparing, In Transit, Delivered and Delayed. Delayed collects every shipment that is past its estimated delivery date and not delivered. Drag a card to another column to change its status. You cannot drop a card into Delayed: the message Shipment cannot be moved to delayed column appears. Moving a late or delivered shipment to another column also sets its estimated delivery date to tomorrow.

Row actions

Click the three dots on a shipment:

  • View Details opens Shipment Details (shipment information, route information, order details and notes) with Track Package, View Documents, Edit Details and Close.
  • Track Package opens the tracking link in a new tab. It is disabled when the shipment has no tracking URL.
  • Edit Shipment opens Update Shipment.
  • Documents opens the shipment's documents, with the number of files in brackets. See Material shipment documents.
  • Delete asks you to confirm in Delete Shipment. This cannot be undone.

Update a shipment

  1. Click "Edit Shipment"

Open the three-dot menu of the shipment and click Edit Shipment.

  2. Change the details

In Update Shipment, you can change Tracking Number, Carrier, Status, Priority, Estimated Delivery Date and Notes.

  3. Click "Save Changes"

    Click Save Changes, or Cancel.

Delivered shipments

The Delivered sub-tab uses the same table and board, but only for shipments with the Delivered status. It has no Status filter.

When goods are delivered, book them into stock from Receive incoming material stock.

Analytics

The Analytics sub-tab, Raw Materials Shipping Analytics (Performance metrics and insights), shows one tile for each count: Total Shipments, Preparing, In Transit, Delivered and Cancelled.

When there are no shipments

The table shows No Active Shipments found with a Create Shipment button (if you may update material production).
